Privacy Policy

This is a draft placeholder, written to describe what Feis-Out actually stores and why, rather than to stand in as reviewed legal advice. It should be reviewed by a lawyer — and against applicable law in the regions you operate (e.g. GDPR, children's privacy rules) — before being relied on as a binding policy.

1. Information we collect

  • Account information: name, email address, and role(s) (organiser, judge, announcer, dancer, guardian).
  • Dancer profiles: date of birth, competitive level, competitor number, guardian links, and — where a school or guardian chooses to enter them — emergency contact details, medical notes, and costume/shoe/wig sizes.
  • Event data: Feis entries, judging feedback and scores, results, invoices, and messages sent through the platform (e.g. announcements, support tickets).
  • Payment data: handled directly by Stripe for entry-fee and invoice payments — Feis-Out does not receive or store full card numbers.
  • Technical data: basic sign-in/session information needed to keep you logged in and to secure the platform.

2. How we use this information

To run the core functions of the platform: managing Feis entries and results, judging and announcing, invoicing, school rosters, and the notifications those actions trigger (e.g. an entry confirmation, a published result, an invoice reminder).

3. Who can see your information

Access is scoped by role, not open to every user — see each collection's access rules in this project's firestore.rules. In short: a dancer's own school organiser and linked guardian(s) can see their full profile; judges and announcers see only what they need for the Feis they're invited to (entries, scores, results); published results and a school's public profile are visible to anyone, by design. Platform admins can access data to operate and support the platform. We don't sell personal information.

4. Third parties we use

Firebase (Google) for authentication and data storage, Stripe for payment processing, and Resend for transactional email (confirmations, reminders, notifications). Each processes data only as needed to provide their part of the service.

5. Data about minors

Many dancer profiles belong to minors and are created and managed by a parent/guardian or their dance school rather than by the dancer directly. If you're a guardian, you're confirming you have the authority to provide that information on the dancer's behalf.

6. Your choices

You can update your own account's name, email, and password from Account Settings. A dancer's profile can be corrected by their organiser, guardian, or a platform admin. To request deletion of your data, contact your platform admin or open a support ticket.

7. Data retention

We keep account and event data for as long as your account is active or as needed to maintain accurate competition records (results are a permanent record once announced). Removing a user profile clears their roles and access but doesn't retroactively alter already-announced results.

8. Changes

This policy may be updated from time to time as the platform changes.
